Tsawwassen First Nation (TFN) is a proud Coast Salish nation with our land base situated in Tsawwassen, B.C. In 2009, the Tsawwassen First Nation Final Agreement came into effect – this treaty was the first modern urban treaty in BC and the first treaty to be successfully negotiated through the BC Treaty Commission process. The Treaty provides us municipal, provincial and federal types of jurisdiction over a land base of 724 hectares.
Tsawwassen First Nation also became a full member of Metro Vancouver, the first First Nation to do so. We are now going through a period of revival and renewal as we plan our future and seek opportunities to sustain our growth physically, economically and culturally, for present and future generations.
TFN has an exciting and immediate opportunity for a Member Records Administrator to join our Member Services team. Reporting to the Manager of Community Services, this position will focus on Tsawwassen First Nation’s Member records administration, which is a key component of TFN’s community related services to TFN members and extended families. The Member Records Administrator will implement and maintain efficient records management systems.
This position will have the opportunity to contribute to the exciting time of growth for TFN members, their families and the community.
Duties and Responsibilities:
- Under the direction of the Manager of Community Services, research, design and implement a Health and Family Services (HFS) database.
- Efficiently administer TFN’s Member records system.
- Complete training through Indigenous Services Canada and manage the Indian Registrar, including assisting with applications and ensuring accuracy for all member records.
- Create database reports as required.
- Oversee and manage privacy forms and adhere to strict confidentiality policies.
- Process applications, provide direction to applicants, and respond to all questions relating to the process.
- Create records for Tsawwassen Individuals, such as identifying those that are pending and those that have not completed an application.
- Create records for non-Members/non-Aboriginal parents and spouses. Identify and follow-up on what fields still need to be populated.
- Identify and address potential gaps in the database system.
- Coordinate and document the issuance of Status Cards.
Qualifications and Experience:
- Diploma or degree in data administration, records management, or a field related to the job, plus 1-3 years related experience or an equivalent combination of education and experience.
- Knowledge of First Nation history, culture, and communities.
- Innovation, creativity and initiative to identify gaps and improve systems.
- Ability to contribute or synthesize information required to develop and implement effective records management systems.
- Intermediate experience with database management and a willingness to upgrade skills in a self-directed academic environment.
- Satisfactory Criminal Records Check.
- Valid Class 5 BC Driver’s License.
- Ability to effectively prioritize workloads and meet required deadlines.
- High ethical standards and ability to maintain confidentiality.
Working Conditions:
Reporting to the Manager of Government Services, the Member Records Administrator is required to work on-site, full-time (37.5) hours per week. Work is performed primarily indoors in an office environment. Off-site travel is occasionally required to attend meetings, committees, conferences and training events. Work may include some evening or weekend work based on operational needs.
Wages:
Pay scale for this position is $30.40 - $33.97 per hour with excellent benefits including enrolment in the BC Municipal Pension Plan. Placement within the pay scale is based on a review of skills, experience & internal equity.
