About the Opportunity
We are looking for a Scheduler for our head office in New Westminster! You will be working closely with our Human Resource Team and will serve as our primary scheduler of our front line CLS Community Support Employees.
Responsibilities
Scheduling and Training
- Work with each Leader to develop a strong knowledge of all supported individuals and their specific staffing needs (to ensure quality scheduling)
- Work with Leaders and employees to manage and schedule shift assignments for CLS employees as needed (PFT, PPT and Relief) including coverage for sick and vacation
- Manage and schedule the placement of the ‘Rover’ roles
- Provide orientation and training to all current and new Leaders on scheduling policy, process and procedures, use of the CLS scheduling system and use of appropriate forms.
- Assign/schedule employees in accordance with each individual’s information, care plans and articulated needs as applicable (e.g., if an individual has expressed a request for certain language, ASL etc.);
- Contact employees regarding the initiation or change in schedules and work with the Leaders on schedule reviews.
- Complete and maintain an updated employee relief list.
- Ensure that employees meet the minimum requirement prior to scheduling (e.g. orientation and training to a program has been completed)
- Enters shift changes into the CLS scheduling system
- Confers with the on-call Leader if shift coverage cannot be found within established parameters
- Runs pre-designed scheduling reports and performs updates as required
- Reviewing program schedules/looking ahead for gaps and checking ratios
People Management
- Contributes to the organizations culture by modeling the CLS values and supporting Leaders and employees to align their actions to the mission and vision.
Preferred Qualifications
Skills and experience:
- A minimum of 3 years experience in a similar role, working with and maintaining a centralised scheduling system – a combination of education and experience will be considered
- Demonstrated ability to operate HR data base and scheduling software. Knowledge and experience with UKG Kronos scheduling software is considered an asset
- Previous experience in the development and systems implementation of a centralised scheduling system – highly desirable
- Demonstrated ability to work within ambiguity
- Demonstrated ability to work under pressure and to tight deadlines
- Ability to keep calm when under pressure from time constraints
- Demonstrated ability to organize, plan and prioritize work with independence and limited supervision
- Detail oriented with priority given to accuracy
- Excellent problem-solving skills with a logical approach and to a high level, are extremely important for this position
- Clear and concise oral and written communication skills; well-developed interpersonal communication skills with a warm, approachable demeanour to effectively work with others
- Proficient in the use of ShareVision and some experience with Excel
- Physical and mental ability to carry on the duties of the position
Requirements:
- Completion of Grade 12, or equivalent competency
- Hours of work will be Monday to Friday 9 to 5 based in New Westminster, however the hours of work including days off and work area may be subject to change consistent with operational requirements
- Valid BC Driver's Licence and access to personal vehicle for business-related purposes.
- A Criminal Record Search and a Medical Form including immunizations are a requirement
