Parts Sourcer/Purchaser & Service Writer

Certified Sales & Rentals is currently recruiting to fulfill a Parts Sourcer/Purchaser & Service Writer role. This position performs a variety of tasks and is primarily responsible for the sourcing and purchasing of all parts required for customer/internal workorders, as well as service writing for all workorders.

The Parts Sourcer/Purchaser & Service Writer receives and processes purchase order requests in a timely manner and works with technicians frequently to ensure clear and accurate communication to customers and suppliers. This position also performs other functions including price quotations, checking inventory for product availability, providing delivery dates, and verifying pricing.

DUTIES & RESPONSIBILITIES

  • Parts Management and Inventory
    • Source and order all parts as required for customers and internal workorders
    • Contact multiple suppliers, when possible, to ensure best prices when purchasing
    • Coordinate with vendors to confirm arrival dates, stock availability, etc.
    • Track and document order details in a clear and concise manner
      • Record amounts of materials or items received or distributed into the inventory system
    • Mark materials with identifying information using appropriate method
      • Assist with sorting and placing materials or items on racks, shelves, or in bins according to internal procedures
      • Assist Shipping and Receiving in identifying and correcting discrepancies in orders that were placed and received
    • Order warehouse inventory and supplies, ensuring adequate parts stock regularly
  • Documentation
    • Ensure all part numbers and descriptions are recorded correctly into the system
    • Create detailed service records, including work orders, invoices, and customer profiles
    • Maintain detailed records of mechanical work performed to help better identify issues in the future
    • Generate and review expediting reports weekly
  • Customer Service and Internal Communication
    • Respond to customer inquiries and provide accurate estimates and explanations about services, pricing, delivery status, etc.
    • Coordinate with technicians to ensure timely completion of services and repairs
    • Maintain communication with technicians, inside and outside sales, site supervisors, and purchasers regarding updates on parts requested
  • Perform other related duties as assigned

REQUIRED EDUCATION, EXPERIENCE & SKILLS

  • Minimum Grade 12, or equivalent
  • Minimum of two (2) years of parts purchasing experience in a similar environment is ideal
  • A Parts Technician Trade Certification would be considered an asset
  • Knowledge of basic accounting
  • Any equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities
  • Any valid safety-related training certificates would be considered an asset
  • Proficiency in Microsoft Office applications including Outlook, Word, Excel
  • Valid drivers license is required
  • Attention to detail
  • Ability to work with minimal supervision
  • Strong time management skills
  • Ability to communicate effectively
  • Possess a professional, responsive, and positive work attitude
  • Able to handle multiple priorities simultaneously; work well under pressure with time-sensitive deadlines
  • Ability to work in a team environment
  • Maintain confidentiality and exercise judgment and discretion when handling sensitive data, records, and communications
