About the Opportunity

The Health Center Administrative Assistant will perform a variety of clerical and administrative duties in support of the Community Health and Wellness department. 

Your key responsibilities include but are not limited to:

  • Greet and welcome visitors to the center and direct to appropriate employee or appropriate person.
  • Support elders and other community members in the commons room
  • Answer telephone and electronic inquiries and relay phone calls and messages
  • Assist clients in filling out paperwork
  • Ensure daily building opening/closing procedures 
  • Maintain manual and electronic information filing systems.
  • Manage boardroom bookings and prepare and turn over boardroom between meetings
  • Provide and manage clinic intake and bookings including; implement, manage and maintain electronic scheduling and booking system, schedule and confirm appointments and meetings.  In collaboration with team, maintain paper and electronic clients records.
  • Set-up rooms as directed by practitioners
  • Support Wellness and Care Team as needed to coordinate the Medical Patient Travel Program including completion of paperwork, arranging travel schedules, reservations and the completion of reporting requirements.
  • Assist in creation and mail distribution of monthly newsletters, posters, and other correspondence as required.
  • Provide notifications to Community and staff regarding meetings, events and interdepartmental deadlines.
  • Timely recording and distribution of departmental mail, cheques and general inbox correspondence.
  • Track and upkeep office supply inventory for Health Center building
  • Plan and pickup catering for various departmental meetings and events

More About You

In order to qualify for the Health Center Administrative Assistant position, you must have a post-secondary diploma in Office Administration or a combination of relevant education and experience.  2-4 years office and administrative experience in a medical office or health facility is ideal. Proficiency in Microsoft office suite and other computer programs is required, as well as strong file management skills, and an ability to work with the organizational document management system.

The successful candidate will hold a high degree of confidentiality along with strong interpersonal, written and verbal communication skills, attention to accuracy and detail, and ability to multitask and manage competing demands. Proof of a clear criminal record including vulnerable sector check is required, as well as provision of a clean driver's abstract and a Valid Class 5 driver’s license.

Salary will commensurate with education and experience from a range ($46,927 - $63,467 annually), and includes a favorable benefits package and pension plan.
