About the Opportunity
We currently have an exciting opportunity for an Executive Assistant, Mayor & City Manager to join our team in Whitehorse, Yukon on a full-time basis.
This position provides complex, confidential administrative support to the Mayor and City Manager. The work includes planning, organizing, and scheduling meetings and events, overseeing and participating in special functions and projects, and maintaining effective public relations between the City including providing information and assistance to the public, other agencies, and internal departments.
More specifically, your duties and responsibilities will include:
- Performing administrative support for the Mayor and City Manager, including:
- Preparing correspondence including letters, reports, speeches, formal greetings, and press releases
- Arranging appointments and meetings
- Reviewing and maintaining appointment calendars
- Supplying necessary background information as required
- Booking travel and hotel accommodations
- Following up on correspondence and projects
- Researching information
- Receiving incoming calls
- Preparing expense reports and completing funding proposal applications and requirements for reimbursements
- Receiving all manner of requests, queries, and complaints
- Liaising with internal staff and external contacts to collaborate on response development
- Researching, drafting, tracking and following up on inquiries and responses
- Performing high-level work of considerable complexity and sensitivity, serving as the primary liaison between the City and the officials of other governmental agencies
- Providing timely, expert advice on protocol requirements by visiting dignitaries, ceremonial events, and special occasions to ensure the delivery of professional and high-quality services
- Maintaining effective working relationships with a variety of internal staff and external contacts, including the public
- Facilitating coordination of information flow between Mayor, City Manager and Council
- Developing and maintaining an effective system of tracking and bringing forward any reoccurring or outstanding matters involving the Mayor and City Manager
- Providing input, monitoring and preparing the Mayor’s and City Manager’s departmental budget
- Organizing and administering functions, receptions, celebrations and other public relations duties as required
- Researching and assisting in special projects as assigned
More About You
In order to qualify for this role, you will need a post-secondary diploma in office or business administration, or equivalent, along with 3 years of senior admin experience, preferably in a municipal/government setting. Alternative combinations of education, training, and experience will also be considered. Knowledge of city structure, functions, and regulations would be an asset.
As our ideal candidate, you have the ability to work independently, establish priorities and exercise tact when dealing with all matters of the position. You have excellent interpersonal and professional communication skills, along with the ability to foster and maintain effective, collaborative relationships among all stakeholders. You have excellent organizational and prioritization skills, are able to multitask, and can maintain accuracy while meeting deadlines.
You are an innovative, forward-thinker, who proactively seeks opportunities and proposes solutions, and takes action when needed. Above all, you have demonstrated confidentiality regarding sensitive information, while being highly detail-oriented, and diligent when putting your skills to the test and building relationships.
