About the Opportunity

Haakon HVAC Services currently has an opportunity for a motivated Customer Experience Administrator to join the office team in Richmond. We are looking for a dynamic individual who really cares about what they do, and is looking to join a team that provides exceptional support to each other internally as well as our customers. This is a multifaceted administrative role that goes beyond traditional office tasks. 

More specifically, your responsibilities will include:

  • Liaising between customers and technicians for service requests and dispatching via telephone, email, and our internal platform. 
  • Addressing customer inquiries and questions while also gathering required information and carrying out vetting for all services. 
  • Ensuring the timely resolution of any customer inquiries. 
  • Carrying out invoicing and following up on any potential problems or missing information. 
  • Planning and executing customer events. 
  • Onboarding of new customer sites. 
  • Following up for contract completion after the completion of onboarding by checking contracts, reviewing equipment lists, and following up on any outstanding requests. 
  • Carrying out maintenance addendums for existing clients.
  • Following up with all customers as they avail of service, maintenance, installation, and onboarding. 

In order to qualify for this position you will ideally have previous office administration experience. More importantly however, you will be someone with exceptional communication and interpersonal skills, who is highly engaged in the work that you do, and wants to provide the best possible outcomes for your colleagues and company. We are looking for someone with a high moral character and warm personality who is able to work with multiple deadlines and competing priorities. Your high level of organizational skills will couple with your attention to detail to ensure you are successful in this position. Experience using CRM software will be advantageous.
