The Staffing Coordinator will be responsible for the efficient rostering of casual staff, ensuring adequate coverage for all events at Motorpoint Arena Nottingham. They will also oversee the approval of timesheets and the production of key event day documentation. This role is crucial in maintaining operational efficiency and ensuring a smooth experience for both staff and event attendees.
WHAT ARE THE KEY DUTIES?
- Staff Rostering: Create and manage shift schedules for casual staff, ensuring appropriate staffing levels for each event.
- Timesheet Approval: Review and approve timesheets, verifying hours worked and ensuring accurate payroll processing.
- Event Documentation: Produce event day documentation, including staff deployment plans, briefing materials, and accreditation lists.
- Communication: Liaise with department heads and supervisors to confirm staffing requirements and address any last-minute changes.
- Staff Liaison: Act as a point of contact for casual staff, addressing queries regarding shifts, payments, and other employment-related concerns.
- Compliance: Ensure all rostering and documentation comply with employment regulations and company policies.
- Systems Management: Maintain up-to-date records using internal scheduling and payroll systems.
- Reporting: Provide staffing reports and post-event evaluations to management as required.
- Safeguarding: To recognise and understand the responsibility for the protection of Children and Adults at Risk. To be committed to ensuring the effective implementation of the NIC Safeguarding Policy, in order that all aspects of the business comply to the Policy.
- Training – to Support the Head of Food and Beverage in planning and implementing training plans.
- Undertake other tasks as may be allocated from time to time.
WHAT ARE WE LOOKING FOR?
Essential:
- Experience in staff scheduling, workforce planning, or event coordination.
- Strong organisational skills with the ability to multitask and work under pressure.
- High attention to detail and accuracy in administrative tasks.
- Excellent communication skills, both written and verbal.
- Ability to use workforce management and payroll systems effectively.
- Proficient in Microsoft Office applications, particularly Excel and Word.
- Ability to work flexibly, including evenings, weekends, and event days.
- Must demonstrate an awareness of equality issues, and a commitment to the implementation of the National Ice Centre Equality and Diversity Policy. Ability to challenge discriminatory behaviour.
- Must have knowledge of Safeguarding and have the ability to carry out safeguarding investigations.
Desirable:
- Previous experience in an arena, stadium, or large event venue.
- Knowledge of employment regulations related to casual staff.
This role will require flexible working hours, including evenings, weekends, and public holidays, in line with event schedules. Some on-site presence during events will be required to oversee staffing operations and ensure smooth execution.
