Temporary Administrative Assistant, Professional Medical Corporations

POSITION SUMMARY

Reporting directly to the legal assistant, professional medical corporations, the administrative assistant is responsible for providing administrative support and supporting the day-to-day activities of the professional corporations department in implementing the requirements of the Health Professions Act and College Bylaws as they relate to professional medical corporations.

DUTIES AND RESPONSIBILITIES

Duties include but are not limited to the following:

  • assist in the processing of applications for a medical corporation permit
    • provide general clerical support with file organization
    • conduct preliminary review of applications, including organization and maintenance of pending material
    • fax consents and permits, open and build files
    • prepare reminder letters and complete any follow-up necessary
    • undertake file organization and filing following issuance of permit
  • assist with annual permit renewal
    • annual permit renewal notifications, including database entry and follow-up
    • draft correspondence from templates, including follow-up
    • identify, document and track various matters for follow-up and further action
    • accuracy and attention to detail in file maintenance, including updating and maintaining records and corporation database
  • provide general clerical and confidential support, including file maintenance, filing and photocopying
  • respond to and document telephone and email enquiries, including follow-up
  • assist with preparation for meetings, including photocopying and distribution of materials
  • assist with special projects including simple research and surveys as requested
  • attend internal meetings with College staff, produce transitory action lists in summary and assist with follow-up as requested
  • perform other tasks as assigned

SKILLS AND QUALIFICATIONS

Required skills and qualifications include:

  • successful completion of grade 12 supplemented by a two-year office administration diploma or equivalent combination of education and experience preferably in a legal environment
  • post-secondary education in corporate law is advantageous
  • exceptional verbal and written communication skills; including a good command of English grammar rules and punctuation
  • working knowledge of Microsoft Office application including Word, Excel, Outlook and PowerPoint
  • minimum typing speed of 70 wpm
  • demonstrated high level of initiative, time management and organizational ability
  • ability to organize and follow direction in setting work priorities
  • ability to work both independently and as a team member
  • ability to maintain a calm demeanor, tact and diplomacy during busy or stressful times
  • ability to exercise good judgment in recognizing scope of authority and protecting confidential information a must
  • attention to detail and a high level of accuracy
