POSITION SUMMARY
Reporting to the manager, drug programs, and in accordance with College policies and procedures, the program assistant is responsible for supporting the day-to-day activities of the Prescription Review Program (PRP).
DUTIES AND RESPONSIBILITIES
Duties include but are not limited to the following:
- respond to telephone inquiries from public, physicians, various health organizations and the government pertaining to the PRP (shared with senior advisor, PRP)
- handle inquiries regarding multi-doctoring, and backup for handling theft and forgery of prescription pads; issue and file appropriate correspondence
- support medical consultants, deputy registrar and manager in responding to prescription review program participants, applying editing and proofreading skills to all correspondence
- receive and process PRP referrals, process for medical consultant, and open files when indicated
- schedule telephone advice calls for medical consultants and deputy registrar, undertaking preparation and completing records and correspondence resulting from these calls
- coordinate and facilitate PRP participant reviews for stages 1 through 3 of the PRP process, including all associated correspondence and action items
- assist with the preparation of meeting materials for the Prescription Review Panel, attend meeting, and draft resulting correspondence as required; backup for senior advisor
- process registration forms, fees and refunds for Prescribers Course
- assist with the preparation and set up of PRP educational events, including attendance at registration desk and on-site support
- update and maintain PRP database including transfer to iMIS
- backup for orders via telephone, mail and fax, for controlled prescription pads and process on behalf of physicians
- backup for reviewing controlled prescription pad orders to ensure they meet College requirements and enter into the controlled drug program database
- provide support to other departments within the College with requests pertaining to PRP
- assist with special projects as assigned (e.g. filing, culling, records retention, outcomes data)
- perform other duties, functions, and responsibilities as assigned by the manager, drug programs or deputy registrar, to support drug programs and the College
SKILLS AND QUALIFICATIONS
Required skills and qualifications include:
- successful completion of grade 12 supplemented by a two-year office administration diploma or equivalent combination of education and experience
- a bachelor’s degree would prove an asset
- a background in health care or familiarity with medical language is preferred
- working knowledge of Microsoft Office applications including Word, Excel, Access and Outlook
- excellent written and verbal communication skills
- strong interpersonal and organizational skills
- ability to work both independently and as a team member
- ability to maintain a calm demeanour during busy or stressful times
- ability to exercise good judgment in recognizing scope of authority and protecting confidential information a must
- analytical, detail orientated and strong problem-solving skills
- previous experience interfacing with patients or the public is an asset
- excellent written and verbal communication skills
- minimum typing speed of 70 wpm
