Legal Assistant, Professional Medical Corporations

POSITION SUMMARY

The legal assistant is responsible for the processing of applications for the incorporation of medical practices while supporting the day-to-day administrative activities of the professional medical corporations department, in implementing the requirements of the Health Professions Act and Bylaws of the College.

DUTIES AND RESPONSIBILITIES

Duties include but are not limited to the following:

Processing of applications for professional medical corporations

  • process applications, including any necessary preliminary requests for additional documents and information from corporate legal counsel and/or registrants
  • conduct comprehensive reviews of all applications for a medical corporation permit including registrant’s information and eligibility, and receipt of requisite fees
  • prepare and issue annual corporation permit, including any necessary fiscal year fee follow-up
  • perform database entry in corporations database (iMIS) required for processing applications and finalizing annual corporation permits, ensuring appropriate subscription of annual fee
  • appropriately handle funds including managing applicable fee entries, payments and adjustments, preparing electronic receipts and processing refunds as necessary
  • conduct comprehensive reviews, including any necessary follow-up, of post-incorporation documents and information to ensure compliance with the Health Professions Act and College Bylaws
  • provide guidance and information to registrants, legal professionals and other stakeholders regarding College processes and requirements for professional medical corporations
  • set and monitor realistic response time frames, and prepare initial acknowledgement letters
  • prepare, finalize and arrange delivery of written Board consents
  • perform file management, including file opening, updating and maintaining paper records
  • review executed Trust Undertakings and supporting documents, and prepare, finalize and arrange delivery of appropriate Board consents

Other duties include:

  • maintain master document lists of Board consents and issuances of annual corporation permit
  • monitor outstanding applications for a medical corporation permit where no permit has been issued, including conducting BC online searches, and preparing, finalizing and sending follow-up letters
  • assist in preparing Supplementary Undertakings in support of certain applications where necessary
  • assist in preparing College business forms, including refund and penalty waiver forms for departmental approval
  • respond to voice mails, emails, and in-person enquiries, ensuring all actions are logged and printed
  • assist and participate in the multitude of tasks, functions and issues arising in the annual permit renewal process, including providing guidance to seasonal support staff where necessary
  • implement professional medical corporations department standards and policies as necessary
  • undertake well-organized file management and regular professional medical corporations department filing
  • draft correspondence and memoranda on various matters including file chronologies
  • perform such other tasks as assigned

SKILLS AND QUALIFICATIONS

Required skills and qualifications include:

  • certification from an accredited legal administrative assistant program and/or have two to five years of experience working in a law firm
  • experience with corporate law is advantageous
  • knowledgeable regarding legal concepts and their application, and familiarity with law office practices
  • intermediate knowledge of Microsoft Office applications including Word, Excel, Outlook and PowerPoint
  • minimum typing speed of 70 wpm
  • exceptional verbal and written communication skills, including an excellent command of English grammar rules and punctuation
  • demonstrated ability in attention to detail and a high level of accuracy
  • strong organizational skills and demonstrated ability in time management to prioritize and meet deadlines
  • demonstrate a high level of initiative and ability to work both independently and as a team member
  • ability to maintain a calm demeanor, exercise tact and diplomacy when handling confidential matters or generally during busy or stressful times
  • ability to exercise good judgment in recognizing scope of authority and protecting confidential information a must
