Program Assistant, Methadone Maintenance Program

POSITION SUMMARY

Reporting to the manager, drug programs, and in accordance with College policies and procedures, the program assistant is responsible for supporting the day-to-day activities of the Methadone Maintenance Program. The program assistant interacts regularly with the senior advisor, deputy registrar, drug programs staff, medical consultants and external stakeholders both within BC and across Canada  

DUTIES AND RESPONSIBILITIES

Duties include but are not limited to the following:

  • respond to standard telephone inquiries from the public, physicians, various health organizations and government pertaining to the Methadone Maintenance Program (shared with program assistant, drug programs)
  • respond to standard email inquiries from physicians, the public and various health organizations pertaining to the program when delegated by senior advisor
  • process all new applications for methadone authorizations: opioid use disorder, analgesia and hospitalist; including coordination with Health Canada
  • process applications for temporary authorizations, renewals of authorizations and/or for cancellations of authorizations
  • schedule telephone and in-person methadone authorization interviews for the deputy registrar, medical consultant and manager; undertake all preparation, and complete dictation records and correspondence as a result of these interviews.
  • update and maintain the methadone database including transfer to iMIS
  • update and maintain internal and external clinic lists and post external list to the website quarterly
  • prepare documents from written and verbal instructions, applying editing and proofreading skills to all correspondence
  • enter workshops evaluation forms information to Excel spreadsheets and create the summary of evaluations report for distribution to the faculty of the methadone panel (in coordination with the program assistant, drug programs to make sure they are completed in a timely manner)
  • assist with the preparation and set up of the Methadone 101 Workshops, including attendance at registration desk and on-site support
  • assist senior advisor with the preparation of meeting materials for the methadone panel meetings (photocopying and couriering of meeting package)
  • attend Methadone Panel meetings and take minutes
  • prepare correspondence for all documentary methadone practice audits, following the process through until it reaches the Methadone Panel agenda, and maintaining statistical information about the documentary assessments for College and Ministry of Health annual reports
  • responsible for general clerical duties, including filing Methadone Maintenance Program correspondence and opening program files
  • assist with special projects as assigned (e.g. filing, culling, records retention, outcomes data)
  • perform other duties, functions, and responsibilities as assigned by the manager, drug programs or deputy registrar, to support drug programs and the College

SKILLS AND QUALIFICATIONS

Required skills and qualifications include:

  • successful completion of Grade 12 supplemented by a two-year office administration diploma or equivalent combination of education and experience
  • a bachelor’s degree is an asset
  • a background in health care or familiarity with medical language is preferred
  • working knowledge of Microsoft Office applications including Word, Excel, Access and Outlook
  • excellent written and verbal communication skills
  • ability to organize and set work priorities
  • ability to work both independently and as a team member
  • ability to maintain a calm demeanor during busy or stressful times
  • ability to exercise good judgment in recognizing scope of authority and protecting confidential information a must
  • analytical, detail orientated and strong problem-solving skills
  • previous experience interfacing with patients or the public is an asset
  • excellent written and verbal communication skills
  • minimum typing speed of 70 wpm
