POSITION SUMMARY

Reporting to the legal counsel, the administrative assistant is responsible for providing administrative support in the legal department and is responsible for assisting the College with files that are before the Health Professions Review Board (HPRB) with a wide range of confidential administrative tasks.

DUTIES AND RESPONSIBILITIES

Duties include but are not limited to the following:

  • organize calendar, email, mail and flag urgent items
  • dicta-type, photocopy, scan and handle correspondence
  • draft legal letters and correspondence
  • record production in accordance to the HPRB legislative deadlines
  • identify, document and track various matters for follow-up and further action
  • attend to routine follow-up inquiries
  • maintain legal filing systems, legal publications, binders for complaints, decision binders, legislation and precedents
  • database entry
  • compile reports
  • assist with scheduling of meetings and appointments, both internal and external, and distribute related files and documents
  • create checklists and update procedures, as required
  • other duties and responsibilities as assigned by the chief legal counsel and legal counsel

DECISION MAKING

Decisions will be made in accordance with ongoing maintenance of legal precedents and established procedures.

ACCOUNTABILITY

After a reasonable training period, the administrative assistant will demonstrate a proactive approach to administrative tasks and file management, while acting within departmental protocols in terms of privileged and confidential information. This will assist with workflow and productivity while maintaining adherence to departmental standards.

SKILLS AND QUALIFICATIONS

Required skills and qualifications include: 

  • legal administration certificate or diploma required or equivalent, with a minimum of three years’ work experience in a legal environment
  • exceptional verbal and written communication skills, including a good command of English grammar rules and punctuation
  • working knowledge of Microsoft Office applications
  • minimum typing speed of 70 wpm
  • proven ability to perform multiple tasks, balance continuous demands and priorities and meet deadlines
  • ability to organize and set work priorities
  • ability to work both independently and as a team member
  • ability to maintain a calm demeanor during busy or stressful times
  • ability to exercise good judgment in recognizing scope of authority and protecting confidential information a must
  • detail orientated
